> A plain guide for principals and school owners on what a school management system should handle, from admissions to parent communication, and the questions to ask before you choose a vendor.

Many schools buy a management system hoping it will reduce paperwork, and then find that teachers still keep registers by hand and the office still chases fees with phone calls. Usually the problem is not the idea of software but the choice of software. This guide explains what a school management system should really do, how to judge whether one fits your school, and what to ask a vendor before you commit.

## Admissions

Admissions are often the first contact a family has with your school, so the process should feel organised. A good system lets you record enquiries, collect application details, track each applicant's status and turn an accepted applicant into an enrolled student without typing everything again. It should also let you see at a glance how many seats are filled in each class and section.

- Online or office-based application forms that feed into one list
- Clear status for each applicant, such as enquiry, test scheduled, accepted or enrolled
- Document records like birth certificates and previous results
- Automatic creation of a student profile once admission is confirmed

## Attendance

Attendance should be quick for teachers, otherwise they will not use it. Marking a class should take moments on a phone or tablet. The office should be able to see daily attendance across the school, and parents should be informed when a child is absent, ideally the same day.

- Class-wise marking by the teacher, not the office
- Simple reports on absences and late arrivals
- Alerts to parents by SMS, app or WhatsApp where possible

## Exams and results

This is where many systems fall short, because every school grades a little differently. The system should match your marking scheme, not force you into someone else's. Teachers should be able to enter marks subject by subject, and the system should calculate totals, grades and positions according to your rules. Report cards should be printable and look like your school's own.

- Your own grading rules, subjects and assessment types
- Mark entry by subject teachers with checks for missing marks
- Automatic calculation of totals, grades and merit positions
- Report cards and transcripts in your school's format

## Fees

Fee collection is often the part that saves the most office time. The system should know what each student owes, record every payment, issue receipts and show who is behind. It should handle discounts, scholarships, sibling concessions and late fees the way your school actually applies them.

- Fee structures by class, with one-time and monthly items
- Receipts that are generated and stored automatically
- A clear list of dues that the accounts office can act on
- Reminders to parents before and after the due date

## Parent communication

Parents want to know how their child is doing without visiting the office. A parent app or portal can show attendance, results, fee status and school notices.

- Notices and circulars sent to a whole school, a class or a single family
- Parents able to view results, attendance and dues on their phone
- A record of what was sent and when

## How to choose the right system

Before speaking to any vendor, gather your admin head, a senior teacher and your accounts person. Agree on the problems you most want solved. A system that does everything on paper but frustrates your teachers will not be used.

- Ask for a live demonstration using your own class structure and grading rules, not only sample data
- Have a teacher try marking attendance and entering marks during the demo
- Check how it works on an ordinary Android phone, since that is what most parents and many teachers use
- Confirm that your existing student data can be imported
- Make sure you will own your data and can export it if you ever leave

## Questions to ask a vendor

- Can the system follow our exact grading and report card format?
- Who trains our staff, and is there support after launch?
- What happens when the curriculum or fee structure changes next year?
- Where is our data stored, who can access it and how is it backed up?
- Can parents use it in Bangla as well as English?
- Is it ready-made software, or can it be adjusted to how our school works?
- How is pricing decided, and what is included in ongoing support?

## Start with the biggest headache

You do not have to switch everything at once. Many schools begin with fees or results, the areas causing the most stress, and add attendance and parent communication once staff are comfortable. A phased start is easier on teachers and gives you time to see real value.
